On a monthly plan the new seats show on the next bill; on an annual plan you pay for the months left in your term and the renewal adjusts.
You do. Every organization lives in its own database that is never shared with another customer. Settings → Export Data gives you a full export (every table as spreadsheet files, plus a full backup) whenever you want it, including after you cancel.
Your access continues to the end of the period you've paid for. After that the organization is read-only for export, and nothing is deleted without you asking.
No. The field app uses the same login and the same permissions as the desktop app. You send them a link; the app installs on their phone from the browser, nothing from an app store.
